Quick answer
A good out of office reply says you're away, gives the date you're back, and names someone to contact if it can't wait. Two to four lines is enough. Use a short version for colleagues, a professional one for clients, and set an end date so it turns itself off. The 30 out of office reply examples below cover short, professional, vacation, sick leave, parental leave, conference and funny replies, each with a copy button.
Most out of office messages get read by people who only want one answer: when will this person see my email? Put that answer in the first line and the rest is detail.
Every template here has brackets to swap for your details. If you'd rather fill in a form, the free out of office message generator builds one from your dates, tone and backup contact. And if you sell by email, read the last section: it covers what to do when the out of office reply lands in your inbox instead of going out from it.
Revbound sorts every out-of-office reply and writes back when the lead returns.

Strip any good auto-reply down and you find the same four parts. The highlighted bits below are the ones people actually look for.
I'm out of the office and back on Tuesday, [date].
If you need something before then, [name] at [email] can help.
Thanks,
[Your name]
- That you're awayOne plain line. The reason is optional, and for sick or personal leave it's better left out
- Your return dateDay and date, so nobody has to count. This is the line people scan for
- Who to contact insteadA named person and their email, for anything that can't wait
- A short sign-offYour name, so the reply doesn't read like a bounce
Leave out your travel plans, your mobile number and anything you wouldn't post publicly. An auto-reply goes to everyone who writes to you, including strangers and spammers. A subject line such as "Out of office until [date]" helps too, because people see the return date before they open the message.
| Situation | Length | Must include |
|---|---|---|
| One day or half day out | One line | When you're back today or tomorrow |
| Vacation | Two to four lines | Return date, backup contact, whether you'll check email |
| Sick leave | Two lines | Return date if known, backup contact. No medical detail |
| Parental or long leave | Three to five lines | Return month, who owns your work now, how to reach them |
| Conference or travel | Two to three lines | Slower replies, return date, where to book time |
Pick the row closest to your absence, then copy a template from the matching section below.

Humor works with coworkers and clients you know well. Keep it to one light line and leave the facts in place: the return date and a backup still matter, even when the rest is a joke. Skip these for support inboxes and for anyone who might be writing about a problem.
I'm out of the office recharging my batteries, which turned out to be harder than charging my phone. Back on [return date]. Urgent? Try [name] at [email].

How to set it up in Gmail and Outlook
In Gmail on a computer, click Settings, then See all settings. On the General tab, find Vacation responder, select Vacation responder on, and fill in the first day, last day, subject and message. Tick the box to reply only to your contacts if you want, then click Save Changes at the bottom. Per Google's vacation responder help page, the reply runs from 12:00 AM on the start date to 11:59 PM on the end date, and most people only get it the first time they write, or again after four days. Our Gmail auto reply setup guide also covers the iPhone and Android apps.
In Outlook on the web, go to Settings, then Account, then Automatic replies. Turn the toggle on, select Send replies only during a time period, enter the start and end, type your message and click Save. In new Outlook for Windows the path is Settings, Accounts, Automatic replies, and in classic Outlook it's File, then Automatic Replies. Work and school accounts can set a separate reply for people outside the organization. The full steps are on Microsoft's automatic replies page.
Receiving OOOs in sales: when and how to follow up
Every list above is written for the person going away. If you run cold email, you also see the other side: dozens of out of office replies coming back from prospects every week. Each one is a reply from a real mailbox, and most tell you exactly when to try again.
Treat an OOO as a scheduling note from the prospect. It's neither a yes nor a no, and it shouldn't be filed with the bounces.

Thanks for your email. I'm at a trade show this week and back in the office on Monday, November 9. For anything urgent, please contact Dana Ortiz at dana@example.com.

Read what the reply tells you
Before you do anything, sort the auto-reply by what it says. The return date decides your timing. A named backup tells you who else could help. "I've left the company" means the sequence for that person is over.
| What the OOO says | What to do |
|---|---|
| Gives a return date | Pause the sequence for that lead and write back a day or two after the date |
| No return date | Pause and try one short note in about a week |
| Names a backup contact | Only email the backup if your offer is clearly their job, and say who pointed you there |
| Says they've left | Stop the sequence and find whoever took over the role, often the person the reply names |
| Long leave (parental, sabbatical) | Note the return month and restart then, or go to the named replacement |
Stop the sequence for that lead
Your next step is probably scheduled for a few days out, which means it lands in an inbox nobody is reading and adds to the pile they come back to. Pause that lead as soon as the OOO arrives. Check how your sending tool treats auto-replies, because some stop the sequence on any reply and others ignore out of office messages and keep sending.
Write back after they return, in the same thread
Wait until a day or two after the return date. The first morning back goes to internal email and anything that broke while they were away. Reply in the original thread so your first email sits underneath, keep it shorter than the opener, and end with one question that's easy to answer.
Hi [first name], welcome back. I know the inbox is full, so I'll keep this short.
I wrote before you left about [problem you solve]. Worth a quick call this month, or should I check back next quarter?
Hi [first name], your auto-reply said you were away, so I held off. Hope everything's well.
Is [one-line offer] something you'd want to look at when things settle down?
Hi [name], [prospect's name]'s auto-reply pointed me to you.
Quick context: I reached out to [prospect's name] about [one-line offer]. If that sits with you now, would it be worth a short conversation?
If the prospect still doesn't answer after this note, carry on with your normal cadence. Our guide to cold email follow up timing and templates covers how many more to send and when to stop, and this walkthrough on how to build a cold email sequence shows where OOO routing fits next to interested, referral and not-interested replies.
Doing it at volume
Tracking return dates in a spreadsheet works for a handful of replies. Across several sequencers and client campaigns, some slip, and those are leads who were never told no.
Revbound pulls replies from Instantly, Smartlead, Email Bison, PlusVibe, SendKit and ArcSend into one inbox and sorts each one with AI, so out of office replies are labeled separately from interested leads, referrals and not-interested answers. It reads the return date in each out-of-office reply, and its out-of-office follow-up writes back when the lead returns, and its referral follow-up contacts the person a lead points you to. You can see the plans on the Revbound pricing page, and every plan starts with a 3-day free trial.
FAQ
What are good examples of out of office replies?
A good out of office reply is short and practical: "I'm out of the office until [date]. For anything urgent, please contact [name] at [email]." Longer versions add whether you'll check email and a thank-you line. Match the tone to who writes to you most, professional for clients and lighter for your own team.
How do you professionally say you will be out of office?
Give the dates you're away, say whether you'll read email, and name a colleague for urgent matters. For example: "I'm out of the office from [start date] to [end date] with no access to email. Please contact [name] at [email] for anything urgent." Leave out the reason unless it helps the reader.
What is a short out of office message?
A short out of office message is one or two sentences with your return date and, if needed, a backup contact. For example: "I'm out until Monday. For urgent requests, email [name] at [email]." Short messages suit internal email and absences of a day or two.
What is a good auto response message?
A good auto response message tells the sender what happens next. For an absence that means your return date and a backup contact. For a shared or support inbox it means when the team will reply and where to go for urgent issues. Keep it under five lines and set an end date.
Should you follow up after an out of office reply?
Yes, but not while the person is away. Pause your sequence for that lead, note the return date from the auto-reply, and send a short follow-up in the same thread a day or two after they return. If the reply gives no date, wait about a week before one short note.
Is it OK to email the backup contact in an out of office reply?
Only if your message is clearly part of that person's job. The backup is covering urgent work, not taking on new sales conversations. If you do write to them, mention who pointed you there and make it easy to say it can wait until the original contact is back.
How do I stop my out of office reply from running forever?
Set an end date when you turn it on. In Gmail the vacation responder has a last day field, and in Outlook you select Send replies only during a time period. Without a time period, Outlook keeps sending the automatic reply until you switch it off.
